Who we are

Bloc is a trading name of Feltlab Software Pty Ltd (ABN to be registered). We build AI-powered automation for strata management companies across Australia.

In this policy, "we", "us" and "our" refers to Feltlab Software Pty Ltd. "You" refers to individuals whose personal information we handle in the course of providing our services.

What personal information we collect

We may collect and process the following kinds of personal information in the course of providing services to our clients:

  • Contact information such as names, email addresses, phone numbers and postal addresses of lot owners, tenants, committee members and other stakeholders
  • Correspondence content including emails, enquiries, maintenance requests and complaints directed to our client's strata management operations
  • Property information such as lot numbers, building addresses and strata plan details
  • Account information such as levy payment status and financial records relevant to strata administration
  • Website visitor data including IP addresses, browser type and pages visited on withbloc.com

We collect this information to deliver our automation services to strata management clients. We do not sell personal information to third parties.

  • Email categorisation and routing — classifying inbound emails by type (maintenance request, levy enquiry, complaint, general enquiry) and routing them to the appropriate workflow or team member
  • Priority assessment — identifying urgent matters such as safety issues, water leaks or insurance claims that require immediate attention
  • Maintenance request triage — categorising maintenance requests by trade type and urgency to assist with contractor dispatch
  • Compliance monitoring — flagging correspondence or deadlines relevant to regulatory obligations
  • Report generation — summarising communication volumes, response times and outstanding matters for management reporting

Human oversight

All automated categorisation and routing decisions are visible to and reviewable by authorised strata management staff. Our systems are designed to assist and accelerate human decision making. Final decisions that materially affect an individual's rights, services or financial obligations are made by qualified strata management professionals, not by automated systems alone.

If you believe an automated decision has materially affected your rights or interests, you may contact the relevant strata management company to request a review of that decision by a human staff member.

Data security

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Our security measures include:

  • Encryption of data in transit and at rest
  • Access controls limiting who can view personal information
  • Regular security reviews of our systems and processes
  • Processing data within our client's existing infrastructure where possible, minimising data transfer

Data retention

We retain personal information only for as long as necessary to provide our services or as required by law. When our engagement with a client ends, we delete or return all personal information in accordance with our contractual obligations.

Third parties

We may use third-party service providers to deliver our services, including cloud hosting providers, AI model providers and email delivery services. We take reasonable steps to ensure these providers handle personal information in accordance with the Australian Privacy Principles.

We do not sell, rent or trade personal information to third parties for marketing purposes.

As we process personal information on behalf of our strata management clients, requests should generally be directed to your strata management company in the first instance.

If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
